As an avid conference attendee, I've frequented numerous events—from global fundraising gatherings to academic symposiums and even romance writer conventions—often more than I've enjoyed family vacations.
After two years of virtual participation, which allowed me to attend even more events without the hassle of travel logistics and costs, the prospect of booking flights for in-person conferences in 2022 is exhilarating. However, after such a lengthy break from packing my suitcase, I needed to reassess what essentials to bring along.
Here’s my essential packing checklist:
Clothing Essentials
Although sweatpants might have been your go-to for virtual meetings, it’s time to rethink your wardrobe! Opt for comfortable attire that aligns with the expected professionalism of the event. Unsure about the dress code? Don’t hesitate to reach out to the organizers or fellow attendees from past years.
It’s wise to pack layers as room temperatures can be unpredictable—having a sweater or jacket on hand is always a safe choice. And remember, comfortable shoes are a must since you’ll likely be on your feet a lot!
Toiletry Necessities
Don’t forget the basics when traveling.
Rest and Relaxation Aids
To ensure you’re well-rested for your sessions, consider bringing earplugs and an eye mask. These items can significantly enhance your sleep quality, especially in unfamiliar environments.
Technology Must-Haves
You'll likely want to have your laptop with you, whether for note-taking or catching up on work between sessions. (I often find time to use mine at the airport, too.) Remember to pack your charger!
Your smartphone is essential as well. It’s not just a communication tool; most conferences have apps that help you navigate schedules and sessions, and they also facilitate networking with other attendees. I frequently share insights from sessions on social media using my phone.
A notebook and pen are great for jotting down thoughts, and even though I occasionally take notes digitally, I still prefer good old-fashioned paper.
Networking Tools
Dust off those business cards you’ve been storing! While I don’t carry as many as I used to (500+ was common), having a small stack is still useful for those who prefer traditional exchanges. Plus, you might have the chance to participate in vendor fair raffles!
Health Essentials
If you have prescribed medications, make sure to pack them. It’s also wise to bring along some extras, like pain relievers or allergy medication, just in case the local climate doesn’t agree with you.
Stay Hydrated
Hydration is key! A refillable water bottle is not only good for your health but also environmentally friendly.
Snacks for Sustenance
Pack some healthy snacks to keep your energy up throughout long days of sessions.
