Maximizing Productivity with Evernote and Todoist Integration

Chapter 1: The Quest for Productivity Tools
In my previous articles, I have explored various productivity applications like Drafts, Bear, Things 3, and Todoist. My ongoing pursuit is to find a streamlined system that minimizes friction in my workflow. This discussion introduces yet another application and service.
I understand that adding another app might seem redundant, but please stay with me. My attempt to utilize Apple Shortcuts for transferring lines from notes to Todoist proved to be inconsistent and limited, as it only functions on iPhones and not on my MacBook.
I've also experimented with Drafts' Actions, which allow for effortless text capture, yet they come with a slight learning curve. Additionally, I found IFTTT to be unreliable in this context. What I truly needed was a solution that worked seamlessly.
Evernote Revisited
For many years, I was an Evernote user, and while I have shared my experiences with it before, my feelings were not particularly positive at that time. However, after their acquisition by Bending Spoons, Evernote has undergone a remarkable revival. Despite its cost, I received a substantial promotional discount for the first year, prompting me to evaluate its value as renewal approaches.
To my surprise, the rumors were accurate; Evernote has significantly improved and feels more polished, although it may seem somewhat bloated. As of now, I'm not utilizing their calendar feature, but this could change as I explore its offerings further. I would appreciate more customization options on the homepage since I'm not interested in their task features, preferring to rely on Todoist instead.
Todoist: My Preferred Task Manager
While I briefly considered Apple Reminders and Things 3, I ultimately found my way back to Todoist. I am a satisfied user who truly appreciates its functionality. The challenge now lies in effectively integrating Evernote with Todoist.
TaskClone: The Solution
I discovered TaskClone as the perfect bridge between these two platforms. This service connects with three source applications, including Evernote, and supports over 20 destination apps such as Todoist, Asana, and Google Calendar. TaskClone is a paid service (free for the first 14 days) that detects to-do items in Evernote and creates corresponding tasks in Todoist.
It's important to note that it only uses the to-do list feature in Evernote, not the new task functionality, which depends on Evernote providing an API for developers.
Setting Up TaskClone
Configuring TaskClone is straightforward. After selecting Evernote and entering my account details, I proceeded to set the source parameters:
Next, I chose Todoist as my destination:
Here, I can select from my project list, opting for the Inbox to triage tasks effectively. Then I finalize the Sync Details:
The Prepend to Task option is particularly useful as it allows me to include the note title or notebook in the Todoist task title for context. I can also add tags and links to my Evernote notes, enabling easy access from Todoist tasks.
The sync behavior allows me to mark tasks as complete in either platform, but this feature is limited to the Pro version and higher.
From now on, whenever I create a to-do item in Evernote using square brackets [ ], it will automatically generate a task in Todoist. The synchronization is generally quick, usually taking just a couple of minutes.
Expanding Functionality
Depending on the services you use, TaskClone also allows for the inclusion of specific task details such as due dates, priorities, and even assignment to other users, making it a reliable tool for task management.
Pricing Overview
After the 14-day trial, TaskClone is a paid service. Below are the current prices listed on their website:
I am likely to opt for the Professional plan once my trial concludes.
Final Thoughts
My renewed experience with Evernote has been enjoyable. I decluttered outdated notes and reorganized my tags, which is my preferred method of organization. With the Evernote and Todoist integration now established, I can:
- Capture tasks within Evernote notes.
- Have tasks automatically appear in Todoist with relevant note information.
- Utilize two-way sync for task completion across both platforms.
What are your thoughts? Have you tried this service? I thrive on productivity and would love to hear your experiences.
